The benefits of cloud computing for the printing industry are many. Scalability, accessibility, cost savings and ease of implementation are some of the main reasons organizations have embraced this technology. As it relates to MPS, cloud based software allows print providers to monitor and manage their customers' print fleets remotely so that they can deliver proactive device maintenance and consumables replenishment on a just in time basis. Print providers are able to deliver a higher level of service and support to their customers, and customers in turn are able to experience a higher level of device uptime and productivity. Additionally, it allows dealers to leverage Canon’s infrastructure instead of having to invest in their own. This allows dealers to offer additional services that they were never able to offer before.

A properly executed MPS engagement always leads to greater efficiency and productivity. With this comes cost savings as an outcome. The total cost savings opportunity is dependent on several factors. For example: Has a Print Policy been crafted with the organization objective in mind? To what extent does the engagement itself have senior management backing and support within the organization? To what extent is the print output and document workflow already optimized? Many organizations have already successfully deployed MPS are actively moving to "version 2.0 or 3.0". In these engagements, the focus is on business workflow efficiency and improvements with a focus on eliminated legacy, paper-based workflows. In general, customers can save up to 30 percent in cost when implementing a MPS approach for the first time.

With our newly launched Canon Business Services Platform, (CBSP) for example Dealers can now offer subscription based services without any investment in their internal infrastructure. Once services are purchased it allows dealers to manage their customers’subscriptions tenants. The SaaS model supports an ecosystem where a customer can try new services with minimal investment and minimal disruption.  We intend to continue to offer our dealers solutions and services that we feel will help them most effectively support our end user customers.

Advice for Fellow CIOs

While IT organizations are generally heavily focused on maintaining core network operations and the proper functioning of business applications, and rightly so, there are tremendous cost savings and efficiency gains that can be experienced by diving deeper into business process workflow and the more effective management of documents. In many ways, this area of opportunity is hidden in most organizations as it is not nearly as visible as a network outage or bug in a core software application. IT organizations who are successfully working with line of business leaders in their organizations will no doubt gain insight into how more effective processes inclusive of the better management of electronic and paper based documentation can dramatically effect the company's bottom line. Of greater potential importance however is the effect improving these processes can have on employees, in essence emancipating them from the many manual tasks involving the documents that make up most business processes.

Like the internet of things, MPS allows for the efficient gathering and sharing of data from multiple sources and devices. As the internet of things has grown and evolved, people are constantly uncovering new benefits to this exchange of information and finding new and innovative ways to use this technology. The same holds true for the printing industry. As MPS matures, organizations are finding that there are many more advantages to having a managed print program than simply reducing costs. Managed print is often a jumping off point into managed content services and more comprehensive business process automation engagements. The technology within our devices themselves are starting to allow for direct IOT communication; moving towards a more proactive and efficient way of measuring usage and device health.

From a technology perspective, next generation MPS engagements will draw significant benefits from the use of Cloud based technologies. These technologies drive easier and more cost effective deployments, scale more readily and in many ways represent a platform for the addition of value added services. Customers who engage in MPS initiatives often find themselves at a crossroads in terms of their own internal capabilities to manage printing and document related processes. As a result, integrating Print IT infrastructure management into MPS engagements provides customer a means of focusing on what they do best while leaving printing to those with greater expertise. Our experience tells us that customers driving MPS engagements and outsourcing Print IT management often turn printing into a utility model; a service that is ever-present and like electricity is immediately available when and where it is needed.

Absolutely not. If this was the case, an MPS engagement would have very limited results or positive impact on an organization. The most effective engagements take a holistic view of print output and document workflow, regardless of the manufacturer or device type employed. This lays emphasis on the importance of a properly executed assessment as part of the discovery phase of MPS or Managed Document Services. This, coupled with a well designed Print Policy and senior management support serve as cornerstones to a successful and effective MPS engagement.
